Anyway, it does not matter for us. Has anyone noticed weird dates?
I see one instance in our "Secondary Office(s)"
Date is in 2010, and field is updated by SADMIN. I guess this must be something internal- the whole section is about CPC-M.

I think this describes when that entry was created in the database. I saw references as early as 2004... and I know GCMS was in development for a LONG time.

I believe the identifiers are the VOs initials and something similar to an employee number, with higher numbers seeming to correspond to higher seniority.
It seems to be the case in my notes, too. All the entries associated with data entries have initials with higher numbers. The ones that are associated with the decisions have lower numbers.

I don't have a whole lot of entires yet though.

I was just wondering if it's possible to order the notes with the UCI number, or if the file number is necessary?

I think you can order with enough and sufficient info....you don't even have to fill their form
Formal requests under the Access to Information Act must:

  • Be made in writing;
    Be signed and dated by the requester;
    Include:
    • Name of the requester
      Address of the requester
    If possible, a telephone number and/or email address where the requester can be contacted between 9 a.m. and 5 p.m. on weekdays;
    Include a $5.00 application fee, which entitles the requester to five hours of search and preparation time.
    Requests in writing
Written requests may be submitted via:

CIC's Access to Information and Personal Information Request Form (IMM 5563)

OR

In a letter indicating that the request is made in accordance with the Access to Information Act.
Please provide sufficient detail
Requests must include sufficient detail to enable an experienced employee of CIC, with a reasonable effort, to identify the records that are being requested. Examples include, but are not limited to:

  • Time periods
    File numbers
    Client identifiers
    File names
    Report titles
    Locations (office, or region/branch)
    Names of individuals
    Dates of birth (if requesting citizenship or immigration files)

I found out that the correspondence section (specially the incoming) is not between the VO and applicant only or at least for the case of CPP-Ottawa. It is between CPP-Ottawa and other offices as well. You will see some incoming like IMM1344 from CPC-M

I also have the same entries, originating in CPC-M. Can't figure out if our VO requests it first or it's a routine thing that is done on a set schedule.

A bit irrelevant, but if you guys are also obsessing over checking eCAS every 5 mins (as I am right now!), maybe you'll find this useful. Apparently, a former member made it. It's an automated eCAS checking system that emails whenever something changes in there.

Don't worry, if you ordered using the CIC request forms you will receive GCMS although the request doesn't name it

CAIPS has been retired. GCMS is the new system (and I understand it will replace FOSS as well, hence the "Global Case Management System" moniker). However, even if he ordered CAIPS notes, he'll get GCMS notes. Indeed the new forms (as of May) from CIC just say "electronic notes" and no longer specify the system.

Thanks, I will order it with his UCI number instead of file number. At least from the GCMS notes, we figured his UCI number and his paper file number (starting with B). ::)
