How Do I Get My CAIPS File?

Getting your file is fairly straight forward, but you will have to pay $ 5 if you are requesting CAIPS notes for your spouse, and they are not residing in Canada. Follow the instructions below:

1.

Have your spouse fill out this form, http://www.cic.gc.ca/english/pdf/kits/forms/IMM5475E.pdf Step by step instructions follow below:

Tick the box that says "I authorize Citizenship and Immigration Canada... ... to release information from my case file to the following individual."

Then have your spouse fill out all of his particulars (his/her name, DOB, location of VISA Processing centre, i.e. Islamabad, etc.)

Then fill out your personal information under the headings titled "Designated Individual."

Have your spouse sign AND date the form at the bottom (alternatively, you could sign for your spouse; I dont think they will notice).

OR, if you have already filled out this form: http://www.cic.gc.ca/english/pdf/kits/forms/IMM5476E.PDF
then just send a photocopy of it along with 2. and 3..

You must now fill out this form: http://www.cic.gc.ca/english/pdf/kits/forms/IMM5563B.pdf Step by step instructions follow below:

Leave the first two boxes at the top blank (Requesters Reference No. and Public Rights Administration file number). This is to be filled by the officer processing your request.

Tick the box that says "Access to Information Act ($ 5.00 fee)." Yes, you HAVE to pay $ 5, there is no way around this. Do not tick "Privacy Act" and hope they will just process it without you having to pay $ 5; this will NOT work. You must pay $ 5 since you are requesting the info on behalf of your spouse, and your spouse is not residing in Canada.

Select which language you wish to receive your notes in, English or French. (I do not know why these choices are under the "Privacy Act" sub-heading. I am assuming the choice of language is also afforded to those who are requesting their notes under the access to "Information Act," and this is just poor design. But I may be wrong (In that case, it wont make a difference).

Then tick the box which says "Receive copies of the Records."

Fill out your spouse's information under the "Client Information" box.

Under the next heading, "Request for- Required Information" box, tick the "CAIPS (information abroad)" box and write "Canadian High Commission (ISLAMABAD)" under the "Embassy" sub-heading, and write the "Visa File No." in the appropriate box. DO NOT check any other boxes in this section. Especially the "OVERSEAS VISA FILE" box. If you do this, they will pull your file aside, photocopy everything and send it to you. It will not only take you forever to get the information, but they will also take your file out of the queue to process your request and therefore it will take LONGER !!! (CAIPS is just a computer printout of all the work done on your file so far. It will not affect the speed at which your case is processed)

In the next heading, tick the box which says "This request is being made by a Canadian Citizen..." Fill out all of your information in this box, name, phone number, address, etc.

Sign and date.

3.

Make out a cheque payable to the "Receiver General of Canada" for $ 5.

Enclose the cheque in an envelope with the other forms, and send it to the address below:

i used the links in this post to order caips n i cant see the option of email so is it ok??
or i have to re order using the new form
coz their is another link given for the second form in one of the recent posts n that form contain the email option
n by receiving through mail delays the process
pay order instead of cash is ok??
pls help i m very worried

You can use the new option of emailing the request to instead of mailing it. It would save you 4-5 working days in total compared to the mailing option which isn't too significant in my opinion unless you have an interview date soon. I would say just mail out the application if your not in a rush to get your CAIPS notes.

Scan all the forms and send them in attachment to this email address ATIP-AIPRP @ cic.gc.ca.

You can use credit card form IMM 5667 and they will charge the $5 on your credit card.

  • Authority to Release Personal Information to a Designated Individual Form (IMM 5475)
  • Access to Information and Personal Information Request Form (IMM 5563)
  • Credit Card Payment Form (IMM 5667)

Make sure you select that you want to receive them via EMAIL. If the option is not on the other form you filled out then you can even write it on the form with PEN that you would like to receive them via EMAIL. They usually comply.

Hi can anyone help me....i mail cic 2 weeks ago for file no....today i received a reply from CIC - Ministerial Enquiries Division/CIC ...they allot me file no which starts from #F ...... & it has 10 digits including #F.... what does tht mean????can anyone help????

It just means that your file has been assigned a immigration File number in the new Global Case Management System ( GCMS ). Now if you want to send any additional documents to add to your application you can use this number and also for the status update or GCMS notes requests you can quote this file number to refer to your file.

The Old system was CAIPS and they had file numbers starting with B0 +8 digits. GCMS is the new system that Islamabad is changing over to and moving application into this system and here the system assigns a file number starting with F0 + 8 digits.

but i dont understand y they are more focused on anything else beside martial questions....that is the purpose of the application and as we were put in interview for the fact of "marriage not genuine"

and if you are comft can you share with me of what documents they requested? and what are the documents that he brought with him to the interview?...thank you very much

I do see it as human right violation. This is our right to get married, sponsor and live with our spouse and build a family. This is basic human right. A right delayed so excessively is, in fact, a right denied. As tax payers and Canadian citizens we should try all possible avenues to get our perilous situation across. There is strength in number and we need to organize. We may need a different platform then this forum for organization. We shall recruit others in our cause. Our family members, friends, community members etc. As a larger group we start work to get sympathetic people of influence. Such as journalists, community leaders as well as any politicians with favorable attitude towards this issue. We need some influential people to be our advocates as well as advisors on building awareness and some form of political pressure. Three things are fundamental: Number, Organization and Action. We start with the forum members here. They should be willing to spend time and effort and bring some ideas. First step is to create an organization. I still believe that in a democratic country people can apply pressure and exercise some power over the government and bureaucracy. I do believe most people will be upset if they come to know about this outrage. Just as an example, my colleagues and boss in our office (mostly WASPS and Canadians) are very upset that I have been waiting for this long for my wife to join me. So I do believe we can get support from wider group of people.
I would suggest starting with a working group of few members who can devote some time. This group shall put forward the ideas on how to build a structure which enables collective action. I am certain we can make some difference.
