Lost Medical Results

Hello everyone,

I have been having some troubles with my medical results and I wanted to ask if anyone have had any experience with a situation like mine and if anyone would know how it could be resolved. I submitted my application in July 2012 while still living in Canada and then my work permit expired, I got a new job in Germany and I have been living in Berlin since September 2012. Currently my application is in Ottawa, although I did not request that processing center.

My problem is that in the past year I have undergone already two medical exam (performed by both panel physicians available in Berlin), one in September 2012 and one in September 2013. Both times my medical results were lost. The physicians claim that everything was submitted according as CIC had instructed them, but today CIC is informing me again that their people cannot locate my results in their system. The first time the results were mailed to London in paper format, the second time the doctor used the new on-line system eMedical. Does anyone have any idea how medical results in eMedical can be located or at least what information is necessary?

One thing I am starting to suspect is that after I underwent my second medical, my passport was about to expire so I had to renew it, hence a new passport number. After that I informed Ottawa about the change of my passport, sent them copies, just like they want us to inform them about any changes in our status. Could there be a confusion between the old passport number and the new one, which causes the problem? Of course this does not explain the loss of my first results. Is there a miscommunication between the European immigration offices and the Canadian ones?

If anyone has any ideas, please share them. I don't quite know what to do anymore, I have no control over this situation with medical exams.

Dear Morpe....

E-medical Result cannot be lost generally.You had to contact the Panel physician immediately after medical( wittin one week). It seems that due to your pp change may be some possibility of losing the Report. However, there is Case no and UCI number as well. I think you have submitted both old and new pp to VO. Once send case specif email to the VO with details, they will do. I think you have the copy of you medical report, better send the copy of that documents ( medical report) as well.

i agree with Target 2013.

it happened due to change in PP no because doctors attach medical results of IME/UME no. with UCI. it is electronically only.

was the PP produced to doctor by you older one or newer..

I am not an expert, but I can't imagine a new PP is the reason. The PP was used to identify the applicant. The UCI is used to identify the file that belongs to that applicant.

New PP is definitely the reason. I had the same experience. So I renewed my PP sent scanned copy to the VO via e-mail long time ago before I got medical request. However, at the clinic I was told my new passport number did not match what they had on their system. I had both passports with me at the time and explained that I had renewed my passport and had even intimated VO but the clinic would have none of it and asked to go to the VO so that they can update the new passport before they could upload my medical results on the system. Went to the VO told them the issue and lamented that I had already sent them a copy of my new passport and that why was it not updated? I was told that the VO could only update based on physical inspection of the new passport (And no one told me this when they replied that I could send a copy of my passport!). Anyway, they took it and verified it and I was told it was now reflecting on the system. The clinic said they couldn't see any change...it became a tussle between the VO and the clinic...I just got tired of the up and down and told the clinic that they are causing the problem and left.....forgot about it (thaz a lie! :p) and just happened to check ecas a few days later only to see the 'medical received' line. Lesson: The new passport needs to be physically checked by VO (that knowledge would have saved me days of sleepless nights :()
My advice is to contact the VO and explain the situation, and see how best you can let them have the new passport to update on the system. Maybe they will request for a certified copy of your new passport. All the best!

Then I guess you need to contact the clinic and find out what happened, cos I've heard of people whose medicals were not immediately sent out by the clinic due to some technical issues (at the clinic, that is). If you have a receipt and other proof of having done medical, I think you should forward that to Ottawa. I know how it feels to be so close, yet so far.

Hi,

Is it always the issue with medical result submission with the new PP. Becasue I have provided my new PP during my medicals last week to the clinic and CIC is still having my old PP information on file.

Approciate help on this.

That should not be necessary for Ottawa. For visa exempt applicants, CPP-O usually never sees the physical passport (since you don't need a visa, they just send out the CoPR directly based on the electronic passport submission).

The medicals are assessed and processed by several Regional Medical Offices. One of these is in Ottawa another is in London and there are IIRC 4 others. Since you did your medical exam in Europe, it would have been routed to the London RMO. Therefore, the VO assessing your file in CPP-O would have requested your medical results from the London RMO (eventually with eMedical my understanding is that this will all be integrated further).

I would reach out to the Panel Physician that performed your medical exam in Sept 2013 and ask for his/her help double checking their records for the specifics of how they submitted your medical results (there may have been a typo or something). Let the VO know what they say so that that can hopefully help them locate your file. Also, send the VO the name of the panel physician and date of your medical exam to help them search by physician if needbe.

It's probably of little comfort to you, but there are other cases that have had issues with medicals being matched up. Each one of them has worked out well with the results ultimately being matched up.
