They send a separate email for every applicant but you do not have to create separate portal accounts, just one is enough. You can use the same to download the e-certificate for all members of the family including minors (after your oath ceremony).

Hello guys! I am overwhelmed with excitement right now. My tracker was finally updated this morning. Oath ceremony is scheduled for Feb 26.

Just wanted to update on our in-person passport application experience.
Oath - 22 Jan 2025
E-certificate downloaded - 23 Jan 2025
Passport Application - 27 Jan 2025: In person at Service Canada Whitby (Passport office)
Passports Delivered - 7 Feb 2025 (delivered by Canada Post)
Experience at Passport Office:
We had 4 applications to submit (2 Adults + 2 children). For submission, my spouse and I walked-in to the office on Monday morning. There was a short queue when we reached around 9:15 (office opens at 8 I think). We were inside the office and into the document checking queue by 9.45 and had got a token by 10ish. Our token was called at around 10:35. The applications were checked, scanned and uploaded, which took about 20 min. We were out of there before 11AM. The office was efficient and people were pleasant.
When submitting the applications, they told us the estimated date when passport will be printed and shipped is 10 Feb. But surprisingly, they were shipped on 5th and we got them today.
Hope this helps. I was expecting bureaucratic hurdles in this process too. But surprisingly, was quite smooth!
