Employment Letter Alternatives- Checklist [please help]

A while ago i had posted that the HR [predictably so] had refused to provide me an official reference on the company letterhead.

So here are the steps am about to take. Please can someone guide me if these are right & if I am missing something.

1. Get an e-mail from my former boss which states the following
a.my dates of employment , employee ID
b.my job duties
c.annual compensation
d.full time - 40 hours a week
e. my NOC code

2. Former boss's business card [scanned & attested copy]
3. Tax return form
4. Appointment Letter from the company / Offer Letter document
5. Last payslip
6. E-mail from HR stating that they do not provide reference letter
7. Experience letter from the company [ just has joining date , leaving date & job title]
8. An Affidavit stating why I am not able to provide a reference letter from the employer . Format here http://www.fsw2014.info/reference-letter-problems/

My questions are as follows :
1. Do i need more proofs?
2. Does the letter mentioned in point 1 have to be notarized? Does an email from my former boss suffice?

This is very comprehensive and it will work fine. You don't need to attest business cards.

2. Does the letter mentioned in point 1 have to be notarized? Does an email from my former boss suffice?

It will be easier if you could just get your former boss to sign a declaration rather than get a mail and then an affidavit around it. Just the notarized declaration would be sufficient. Provided your former boss is available to sign the document. Even if they are not, type up the declaration with a date and "To whoever this may concern" on top and mention all work experience details and other evidences therein and mail it to your former boss, ask them to print, sign, scan and mail it back to you. Take a color print of that and get it notarized - even that would do. Choose whichever route you prefer.

Hi Asivad

Thanks for your previous response on this thread. I was able to follow it to a T and get the required documents for all of my previous employers , except one.

I've marked the current situation in red.

1. Get an e-mail from my former boss which states the following

My former boss isn't comfortable with providing me this declaration, although all the information I have noted is completely accurate and I have supporting documents to prove the same. I have a former colleague who is willing to help but I didn't have a direct reporting relationship to him. Should I mention him as my colleague who has seen me perform the job duties pertaining to my NOC? Is that acceptable ?

2. Former boss's business card [scanned & attested copy] I will get this from my former colleague.

4. Appointment Letter from the company / Offer Letter document DONE
5. Last payslip DONE

Not a roadblock. You can get it from the ex-colleague as well. Use an LOE to clearly outline why you are getting this from an ex-colleague and not from ex-HR or ex-supervisor and request them to consider your application as complete.

I went to a notary and apparently a plain paper declaration is not acceptable.

They would need the declaration on a stamp paper post which they will notarize it with physical signatures of the boss / colleague and yourself.


Did anyone encounter this issue while writing a declaration for the job roles and responsibilities that is not provided by the employer?

Some notaries could interpret this in their own style. Tell them that you are using this for immigration purposes and that CIC recognizes the validity of plain paper notarized document as well. Tell the notary that there is no reason to use a stamp paper for a simple job responsibilities document.

If that doesn't work, use a stamp paper or (even better) find another notary official.

Mentioning the NOC code isn't mandatory.

Help needed on getting reference letter from my manager from previous job notarized. My previous company refused to provide a work reference letter (they have provided a standard letter stating joining date, leaving date, designation but not roles and responsibilities). My manager provided on based on his personal capacity. He has signed a letter (not on company letterhead) and attached his business card.

When I took it to the notary, they said they cannot notrize unless the signatory signs in front of them or sends a physical copy (not a scanned copy and then that I take printout). Has anyone else experienced this, how did you handle. Please note, I am in Canada now on a work permit, my ex boss is in India, - so getting a hard copy in time will be chalelnging.

Please advise.

Can you ask your ex-boss to get the document notarized and send you a scanned copy of the notarized document?

In my case, the notary was okay with putting the seal and stamp on the document and then we posted it to my manager who signed the document and then sent it across as a scanned copy.

So basically the notary was with me in city A and we drafted all the paperwork , he was okay with putting his seal on it and took some ID proofs of the manager from me and mailed the document to the manager who lives in city B.

the manager then just had to sign and scan those copies in to me.

I think you might have flexibility when it comes to Indian notaries , call any one of them and ask the process. This is a fairly common situation so don't worry.

It can still be sorted.

Thanks for your response. My manager already has sent a letter that he has signed. I feel asking him to sign on a notarized copy might spook him out. He didnt feel comfortable issuing the letter at the first place.
I guess will check with other noraries here in Canada if they can notarize after he has signed it. Any other thoughts will be welcome

do you have a friend / acquaintance that can do the legwork for you in India?

They could get the document notarized.

if not, yeah, check if there are other notaries in Canada who can do it for you.
