Hello all

was wondering if you guys can give me some advice, me and my wife submitted an application 2 months ago and it was returned today. reason was missing 2 recent photos of principal applicant (even though i had it inside a small envelope labelled). i was wondering if there is a special way they want it? like taped on a white sheet of paper or something. it's pretty ridiculous for them to miss it but it is what it is, i just don't want it to be returned again under this reason.

second is my wife's birth certificate missing, in China our birth certificates sometimes would not have a name yet because it's decided sometime after birth. would this be a problem if we use birth certificate as such?

and thirdly, we made full payments of the application fee, if we submit a new application do we pay for it again or can we include our previous receipt in with our new application?

thank you in advance for all advice and help, it is greatly appreciated

Hi! Sorry to hear that. When did you apply first ?

I can answer the last question : you don't have to pay again. Just include the same receipt ;)

wow that sucks that they missed or lost the small envelope with your pictures. normally, you just put the pictures along with the rest of the document in a folder or big envelope. the less things to open, the better.

when you received your package back, was the envelope actually missing?

thank you guys for replying, the envelope was there but not with all the other pictures. but now i know to keep them all together for easy access.

I attached the PA's passport pics to the IMM0008 form with a paperclip.

Maybe do a sheet (A4 size same as the forms etc) and insert it in the application where you would the pics (going by the document checklist) saying something like "Please find the requested applicant photos in a small envelope included within this application package".

I would never have thought to do that and haven't heard anyone else having a problem but goes to show you just never know what they accidentally miss/return your app for.

Also, I'm sure they were, but the photos you sent definitely matched the size/layout specification they requested?

Personally, I put the PA photographs in a A4 (i.e. large) envelope with 'PHOTOGRAPHS OF PRINCIPAL APPLICANT' printed in very large bold lettering on the outside by inkjet and in the order of the other forms and attachments in the same sequence as the checklist.

The people carrying out the 'completeness check' are human and are not allocated much time to check each, so mistakes can happen - I tried to make it as hard as possible for them to make such mistakes!

thank you all for the replies

does anyone have a clue about my issue with birth certificate? so we have my wife's birth cert but it doesn't have her name on it, it literally says "baby" (my wife's last name). In China, it's common to decide the child's name well after birth. Is it better to write an explanation letter explaining this issue or to explain not having one at all?

as always your help is greatly appreciated

thank you

If this is a common practice in China with birth certificates the VO should be aware of it. Yes for sure you would still need to include a letter explaining the issue so that it is not left unaddressed. Once the babies are named is it typical that people would then apply for a new birth certificate? If that is the practice then that avenue may also need to be explored. Each VO is generally pretty aware of customs and traditions or cultural practices in their respective countries. You might want to see if anyone else applying to your same VO has had a similar experience and ask what they did. Blessings and best wishes for a smooth processing of your application.
