Please Help! HR not replying to Employment letter request, what to do?

Hi Friends,

I work in an Indian IT company and recently contacted my HR department regarding the bonafide letter with my roles and responsibilities and other employment details. But my HR is not replying to me on the email that they can not provide me with such letter rather they have verbally denied giving me the employment letter.

I am a bit worried now, as I have not got their denial in writing that I can use to further corroborate while submitting my application that my HR has denied to provide me with the letter. I still chasing HR to reply to my email at least but I am not very hopeful.

Please suggest what I can do in this case?

Get a letter in plain paper from a colleague following IRCC's requirements and notarize it.

Few doubts:
1. Do I need to attach the emails chaser that I have sent to HR and to which they have not replied to me along with notarized letter from colleague?

2. The colleague sharing the letter on plain paper need to show himself as a supervisor or he can only state that he is my colleague?

3. Notarization should include any extra stamps like valid outside India, Sworn Before me etc apart from normal Stamp paper ?

1 - Yes, that is the common approach, if you ever get their refusal by e-mail attach that as well.

2 - No, if he is not your supervisor he should not declare him as such, it is perfectly fine to get a letter from a colleague who may share the same position as yours.

3 - I'm not from India so I can't help you there.

You don't need stamp paper. That means nothing outside India (and even inside India - people just think that it confers authority. Lots of docs don't need to be on stamp paper)

Get it on standard A4 paper, and have that notarized. That's all you need.

I wondering what's the use of attaching one way email communication. How will IRCC know that the email did not get any response? You could take a screenshot any time after sending it right.

Just explain in LOE that the company doesn't give responsibilities letter in letter head due to policy restrictions and hence you have got a letter from your supervisor.

You can try to put your request forward through your manager. That helped in my case where HR was denying to write the detailed letter (they gave a standard format letter at first place). However, my manager directed me to the right person and I had my letter in a day.

I agree with @rubyverma - it's always best to go through your manager or direct supervisor. Try talking to the person you're directly reporting to; he or she will put in a word to your HR to make matters easier for you.

If the HR still doesn't write the letter, you can approach your manager or supervisor to write a reference letter on plain paper.

I've no experience of notarization but please remember to attach the business card of the person who wrote the letter for you on plain paper.
