We are almost done with our application! :D

But I have questions on organizing it. I am American applying Outland.

On form 5490 it asks for support of the relationship: photos, flight itinerary, etc. but it also asks for supporting documents under Part 3. So where do you put your photos, flight info, call logs, etc? We currently have all of our photos attached to Question 9 of Form 5490 and our flight info attached to Question 24 and 25 depending on who went where. We also put our communication information with Question 26 because that's where it's asking the question. Do we have to reprint everything and put it under Part 3 too? To us it makes more sense for it to be attached to the section in which we are discussing the question. It seems confusing to put it in a separate folder.

I'm wondering the same thing actually.

I'm currently filling out this form. I've continued all my extra answers onto another sheet of paper. Where does this page go? At the end of the 5409 application?

I also though you put all the supporting documents after the application for sponsor and application for me? Do I actually include them mixed in with my application package? Or do I reference to where they can be found?

Its hard enough filling the thing out let alone trying to organise it. Hmm.

We organized into 3 envelopes:
- sponsor forms & docs (like passport photocopy etc)
- applicant forms & docs (marriage certificate etc), and
- supporting documention (photos and a few greeting cards in our case)
Those 3 envelopes we enclosed into ONE master envelope, and sent it in. Do NOT send envelopes separately, they WON'T figure it out, they'll send each one back as incomplete.
There have been ten-page essays written here c/w photos of what I've just described, (I like to get to the point).

When answering question 20 it says Provide writtenand documentary evidence of your relationship.

Does this mean in the space below to write what we have to refer the IO reading it to the list of supporting documents at the back?

Yes, just write something like "see attached supporting documents." Like Truesmile said, we also had 3 piles - Sponsor's Papers, in order of the checklist, with checklist on top (under the bar code pages), then Applicants Papers, also organized as to the checklist in order, then a whole separate envelope of supporting documents which included all the relationship history for the two of us plus photos, plane tix, chat logs etc. However, if it were just a question on a form that needs to be expanded on we attached a paper to the back of that form and wrote 'see attached paper' and on that paper we put the form numer, question number, and answer. In reality when they receive your application they will just take it apart and organize how they see fit.

I did mine similar to this. Checklist was at top of each stack. Forms were in order on checklist. I wrote a brief statement about a few questions and included after the forms. All ID copies, marriage license etc were paper clipped together (husband bought pink and purple butterfly clips! Yay...)

My try organization was the proof folder. I used various sized alligator clips with paper clips subdividing sections. Trips were together under one alligator clip. Each trip had its own paper clip.

Organization makes me so happy.

Ok, this is how I have it done so far.

Sponsors paperwork is in a clear file folder with table of contents on top, then barcodes, then documents. Each document has a green Post-it tab on it with the name of the form and those are put on like tabs in a binder so you can see all of them from the first page. The forms with more than one page are held together with paperclips.

Spouses paperwork is the same.

There are two additional clear file folders (because we have a lot of information) which are the answers to all the questions on form IMM 5490 that we didn't have room for on the form and/or have supporting documents for. These have orange Post-it tabs with Q6, Q9, Q11, etc. The ones with supporting documents have binder clips around them.

All photos are attached directly to the question or part of the question they correspond with. Example: Question 9: About our relationship: Cover page of how it's organized, trip 1 explanation, photos, trip 2 explanation, photos, flight itinerary (because we met each other somewhere we didn't visit the other person), and so forth.

There is a fourth clear file folder with our copied documents (passorts, birth certificates, marriage license, etc) Should these go in the first two folders? Should his passport copy, Option C print out, etc go in the Sponsor file folder? Should mine go in the spouses?

Thanks guys, we really appreciate it!

Whew!

The Checklists will tell you where to put those documents.

man this is terrifying. argh!!

Can someone clarify if this will look ok:

Envelope 1 - Sponsor
Include all forms filled out
Passport copy
What else do I include here?

Envelope 2 - Applicant
Include all forms
Additional answer sheet information for IMM 5490 and IMM 5669
(Do I put photos here or in the supporting envelope?? This part is confusing me?
Passport copy
What else do I include here? It says supporting evidence but I thought that went in the third envelope?

Envelope 3 - Proof of relationship
Photos
Trips
Lease
letters
emails
proof of property
joint bank accounts
same address
What else do I include here?

I looked at the link you posted me too and its a lot of stuff. I don't think I'll have anywhere near that amount and I'm kind of panicing.

Sorry for hi-jacking your thread. Im a little overwhelmed!

The photos from Appendix B go in there, not the pictures for relationship proof ;)

This is my appendix A and B. Yours may be different. Appendix B is the photos you'll need.

Your declartion of common law is on the checklist. Place it where the checklist says to.

Gary, do you have both checklists? They will tell you where to include these things.

Here's the one for the Sponsor http://www.cic.gc.ca/english/pdf/kits/forms/IMM5491E.pdf

Here's the one for applicants from Western Europe, if you're from there.. I noticed your VO is London.
