Massive confusion over the Educational Documents & Attestation. Pls Help.

Hi Guys, i m having lots and lots of confusion over the educational documentation and their attestation, the biggest being with the degree marksheets and transcripts. Let me go step by by :

1. Consider i'm applying to 5 uni's so this means, 1 attested set of 10th+Passing certificate, 12th+PC, 3 LoR's/uni , 1 SOP, i set of marksheets, 1 set of transcripts all attested for each uni. Is it all correct or am i missing something ?

2.Now getting the 10+12th+both passing certificates involves getting attested (5*10th marksheet + 5*1 10th PC + 5*12th marksheet + 5*1 12th PC = 20 copies) all from the school principal. So in all 20 copies being stamped alongwith seperate envelopes for each uni. Each uni gets a total of 4 docs in a sealed stamped envelope.. correct ?

3.Now the utter chaos of Degree. Came to know that marksheets and transcripts are different ... Than this means getting marksheet of each semester stamped and signed by the registrar of the university ? I'm having a total of 8 marksheets and 1 Provisional Degree. So (9*5 = 45 sheets signed and stamped by the registrar) .My university is Maharshi Dayanand University, Rohtak, Haryana (Govt.), so my concern lies whether the registrar will agree to sign or not, or throw some tantrums ? If he refuses to sign, can i get them signed from the college registrar or the former is my only option ? Also, the sealed stamped envelope would consist of (8MC photocopy+ 1 Provisional photocopy = 9 copies) stamped and attested for each uni .. Right ? The university is approx. 100 kms from my place so to and fro multiple times would be difficult.

Really a big confusion for you, but its always good to ask if you are in some doubt.. Lets c what i can suggest you on this..

Firstly, if you are applying for Masters then you dont have to submit 10th and 12th documents (atleast mine one didnt asked for it, and i am pretty sure that you will not need it). You will be needing following docs:

a) Transcripts- Its a document which contains all semester marks, with the final marks you have obtained. Universities ask for Transcripts also known as consolidated marksheets, here consolidated means that all four year semester wise marks are included in that document. So, you dont have to submit each individual marksheet to University.
b) Degree Certificate/Provisional
c) LORs- It normally ranges from 2-3 per university.

All universities have their own format to issue the transcripts, yours university must b having one particular format. But keep in mind that your transcripts must include all the subjects you have studied in those 4 years, and also the final percentage or total marks obtained after those four years. If you dont find your university format appropriate then its advisable to prepare at your own. But first confirm with the university(yours).

Its not possible for you to have 5-7 sets of originals (Transcripts or Degree) so it is advisable to take the photocopy 5-10 sets and get it stamped and signed by the registrar or director of your institute, this will do your job. And one more thing transcripts are not for every semester, they are for whole studies, means all four years marks in one transcript.

So, in last should you choose to apply in 5 universities, you must have:

a) 5 Degree Certificate (first take photocopy then get it stamped and signed).
b) 5 Transcripts (first take photocopy then get it stamped and signed).
c) 3 lor/uni means 15 LORs.

so, for 1 university (1 TC+ 1 DC+ 2 or 3 LOR) = 4 or 5 Docs.

Put all these in one big envelope (university envelope if available, or you can use the plain one too) sealed it, ask your registrar to put stamp and sign on it after getting it sealed.

Post it. And then wait for the results.

My opinions :
Ques 1, 2 and 3 : I got all my documents(Xth, XIIth, BE, MTech) attested from my MTech professor (Govt College) and got the GoI seal on all the photocopies. The admissions office at the Uni in canada did not mind at all and accepted me. If you want, you can get them attested from respective institutions. Please do ONLY as the university says. My university just said that you need attested docs and did not mention from whom. Its very unlikely that you will get anything done from MDU (I am from MDU too) efficiently. You can try your luck however. Go to Registrar's office, IInd floor and ask them the procedure to get things attested. Maybe the Registrar or Controller of Exams can do that. But I can't tell you about timeline on this.

4. Transcripts are absolutely necessary. Again, getting them from MDU is a headache - indeed its the best example of worst babugiri. It may take more than a week if you don't have contacts there. You will have to visit again to collect DMCs. Here is the hectic procedures :
* Go to Results Section R1 Branch (Registrar's office, IInd Floor) and tell them you need Transcripts. He may tell you to pay fees (200/DMC = 1600)/sealed envelope at fees section. Bring the receipt back
* Get your marks entered in specified format. You may need to go to cyber cafe to do that. Print it out. Bring back to office.
* The issuer will check and tell you if some problems are there and advice you to reprint them or may give you MDU letterhead to get it printed. He may also shoo you away and tel you to return next week when verification will be done.
* Get final DMC format printed on that letterhead and make NO MISTAKES.
* He will then get it signed by Asst Registrar and seal it in an envelope and put MDU stamps all over the envelope.

Best of luck on this. Remember, always have patient. With so any engineers in the making, there's serious pressure on admin staff in MDU. You will see it from the Delhi and Haryana crowd there. They try their best seriously, but are Govt. babus at heart :)

@sue_in : A big postive for me that you're a student of MDU too, and u've confirmed me my worst fears, alas the babugiri at MDU. Can u do me a favour, if u r having the format of official MDU transcript, i would be highly obliged if u could mail me a softcopy obviously with all ur private details and marks masked in paint. It would prove to be beneficial cos then i can avoid my trip to the cyber cafe, and prepare it beforehand at my home, get it checked from the official and lastly final prints on the MDU letterhead.

1. Only one set (or attested photocopy) of graduation transcript for each University applied. Nothing else required.
2. College has no role in the issuance of transcript. Registrar is the only authority. Does not matter if it's 100 or 1000 KM, you will have to go there. You will get only 1 page transcript which will cover all years.
3. You apply for only 1 original transcript which will cost you as per the rate. For rest, photocopy of the original (with attestation) will work, will help you save big money.
4. In all you need per/University applied: 1 set of Transcript + Degree Certificate.

Check PM. I don't have a softcopy. Just stick to the plan. Be patient, talk politely. Take a water bottle with you and be ready to walk a lot :)

Thanks to all of you guys, this gives me bit of mind set like what to expect. Even I also on the same situation I am applying for 2 universities and need to get my transcripts, even my case is more pathetic as i don't have the Delhi University 1st year mark sheet and without that i would not get the transcript and for that i need to now my roll number which i don't know as i gave that exams in 1996.
I don't understand why university is about the transcript why don't they accept mark sheet and degrees for the admission purpose, anyways.
Does anyone has the specific format of the transcript of MDU rohtak. At leas some guideline how to write the transcript?
