Now I'm working on the reference letter.

What should I write for the hours and salary in the reference letter?

When I started work, my manager said "your minimum hours per week is 44 hours, your annual salary is $30,000 and your hourly wage is $13.25."

However, since I had overtime working in many weeks or worked less than 44 hours, my annual salary is not exactly $ 30,000 as it's different from t4.

Should I write the average of hours that I actually worked or 44 hours?
Should I write the pro-rated rate salary based on the average hours or just $30,000?

Please seniors help...

You should write the amount You were paid, the one that is on t4. You dont have to write number of hours, just "full time" will be good enough. Put how much you are paid per hour insted..

I have the same issue. I will provide t4 for 2013, and all pay stubs for 2014 that I receieved so far. Add amount that your were paid in 2014 to the one that you have on your t4 for 2013, and thats your salary for 12 months

Or you can ask people in accounting in your company to give you official statement with your salary for 12 months. I'll go for paystubs, and t4

Step 1: Print the document checklist

Step 2: Highlight the section related to reference letter and take that page to HR or your manager/supervisor.

Step 3: Ask them to write a draft and verify it meets the requirements, then ask for final version (including official letterhead, etc.)

Step 4: If possible attach a business card

Step 5: Submit along with other documents proving your work experience and compensation (payslips, T4, NOA, etc.)

In terms of compensation everything doesn't have to exactly match each other. You have your official rate, then various deductions and bonuses, paid/unpaid time off, raise, etc. and CIC considers all of these so if numbers on T4 and letter do not exactly match that won't be a problem.

Then one last question. Is it ok if my employer write" his official hour is 44hours/ a week and the pro-rated rate of annual salary is $ 30,000" even though my t4 could be $3,2778?

*44 is my official hour/week
*$30,000 is official salary based on 44 hours/week.

Hmm... technically, if you are paid an hourly wage, you do not have a salary. If you are salaried, your earnings won't vary based on the number of hours you work.

Since it sounds like you earn an hourly wage,

"Mr X works a minimum of 44 hours per week. His hourly wage is $13.25/hour, for an annualized income of approximately $30,000, excluding overtime."

Since you earned more than that - not a problem! if you had earned significantly less than that, it could be a problem.

I would calculate my wage per hour (if needed) myself. You know how much money you get annually and you also know how many hours you have worked. It shouldn't be a problem for you.

This is a good way to get your application returned. The document checklist specifically states that your reference letter must include "the number of hours worked per week".

Put your actual earnings on an annualized basis.

What happens if You work some weeks 35 and some even over 40 hours per week? I, for example, work in trucking company and some weeks can be crazy busy and I work 40+ hours per weeks. But some are slow and I work only 35 hours which is my minimum..

Some people work differing hours from week to week, yes. But it's not like you're being asked to predict the hours you will work in the future! The calculation is based on the hours you were already paid for.

The term "full-time" may not mean the same thing to CIC as it does to the person who wrote the employment letter. So it makes perfect sense that the employment letter should include the number of hours worked per week.

In your example, the variation in hours does not matter anyway, as all of them exceed 30 hours, which is CIC's threshold for a full-time week.
