August 2018 Organizing Application (New Checklists etc.)

Hi all,

So we are finally in the process of organizing our application to courier it. Now I know this question that I am about to ask has been asked and answered many times, but I can only find old information and CIC has changed the way we need to organize our applications.

According to my understanding, our application needs to have the following (in the order I have written here):

1 x checklist for the entire application and all IMM forms on top (not separate checklists for sponsor/applicant)
1 x barcode page with all IMM forms' barcodes (sponsor and applicant barcodes all together)
Sponsor's IMM forms
Principal applicant's IMM forms
Supporting documents (in order of checklist, so sponsor's supporting documents first and principal applicant second)

It does not state where we need to put proof of relationship and where we need to put proof of sponsor's intentions/plans to settle in Canada (required in our case since we are both outland).

This is where I am getting confused a bit: Where do I add proof of relationship (which is its own section) and proof of sponsor's intent to reside in Canada (also its own section with several pages)?

The supporting documents are passports, ID etc. as far as I am concerned. These supporting documents are not proof of relationship or proof of sponsor's intent to establish in Canada (sponsor is outland so we need to submit proof).

We have created a section on our proof of relationship with all the documents to prove our relationship, including photos. We also included a plan of the sponsor's intent to return to Canada with all communication, research for jobs/housing etc.

I am also unsure where to put the fees, so I figured right after the barcodes...

I looked at older posts and saw people using envelopes which would be great, as I can split my application into 4 envelopes (sponsor's IMM forms and supporting docs, applicant's IMM forms and supporting docs, proof of relationship and 20 photos, proof of intent to establish in Canada - we have a TON of research) but according to the CIC website that order will not work since they want the supporting documents to be in its own section...

Sorry for the long post, it's the final stretch and I really need help here.

Hi, from what i understood u are outside of canada (sponsor) is it just for a vacation or you are a citizen of canada working somewhere else?

It doesn't really matter. IRCC reorganizes it all anyways.

7.1 Copies of most recent Passport (2018) and birth certificate
7.2 Statutory declaration of common-law relationship (we are going to fill in and notarize IMM 5409 but I am not sure whether we are allowed to?)
7.3 Police clearance certificate of applicant (received 31 July 2018)
7.4 2 x photos of principal applicant (I assume they have to look the same?)
7.5 Proof of our relationship (roughly 100 pages where I include all documents relating to our relationship including lease agreement, bank accounts, envelope with 20 photos, relationship support letters, 2 x statutory declarations from family members - is this still a requirement?)

And that is the whole application. I wrote it all out not to just ask some of the members whether we are on the correct path, but also hoping (IF) it is correct, that some people in the future can find this post helpful. Since the checklist and documents went through some changes in 2018, older posts are not relevant anymore.

Side note: I did use some colored tabs on the sides of the papers to distinguish sponsor and applicant supporting docs from one another. I also used binder clips (to keep the large documents together) and we are going to use rubber bands to keep each section (3 - 7) together. No staples, no plastic binders etc. One envelope for the photos and one large envelope to put the whole application in.

I would say don’t fret too much over this, the main thing is making sure the app is complete and everything is signed correctly.

When we sent in my wife’s app last August we had the checklist first then everything else in order of the checklist, we never had all the barcodes separate ( infact we had each application forms stapled together with the barcodes with each form in the page order they are printed off, totally wrong but made sense to us trying to keep all the forms together in order). None of that caused any problems with app and she was approved in a little over 11 months.

I think we all overthink this, like people that had sent their apps in at the same time as ours started getting AORs and we never got ours till 2 days after, during those 2 days we were so dispondent and thought the app was being returned for sure! The whole process makes you worry as you won’t hear any news for months on end, ultimately the less you hear from them after AOR and the med request then this is good news as means your app is processing smoothly without the need for them to request additional info. The only time we got any correspondence from them was AOR for my wife after after around 8 weeks, med request after 7 months, then AIP and landing email after 11 months. I the sponsor never heard anything until I got the sponsor approval email but this came a few days after my wife had all ready had the landing email!

Thanks! Yeah we created a huge section for providing proof that the sponsor will move to Canada. I think our proof is about 100 pages (housing research, job apps, budgeting research, transportation, severing ties to our current country, shipping quotes etc.) we have heard that people have had issues proving this section, so we went a bit crazy haha.

Yeah I bet it can get nerve wracking. I truely hope our application will go smooth as well :) I have tried not to overwhelm the officer with too much evidence, and kept with the max photos and max chats limits. The rest of the evidence required I threw in as much as possible.

Please did u get AOR. If yes, how did u feel ur checklist? How did u use N/A on the form. I am not confused on how to fill my checklist

We are sending out our application tomorrow...this is so stressful. We double checked that we signed everywhere, and we wrote N/A literally everywhere when we did not answer something, even if the blocks were already greyed out. How I see it, they can return the package if you do not put in N/As but they will not return it for having too many N/As. We have N/As all over the place haha. Sending it via courier tomorrow morning.

I only had one checklist for our common-law relationship. The checklist has sections for sponsor, applicant, both sponsor and applicant and supporting documents. As far as I am aware the sponsor does not have a separate checklist, it should all be under one document. We do not have an open work permit application, so not sure whether that requires an additional checklist.
