I have a couple of questions about ordering the GCMS notes and I was hoping you could help me:

1. Best time to order them. I read some people order them after 2 months, others wait for 6 months before ordering them, others request the notes every month, etc. What is the best time? Looking at my timeline, do you think I will get some information from these notes if I order them in about a month from now?

2. My husband, the sponsor/Canadian citizen, is living with me outside Canada; can he request the notes in my name online (at: http://www.cic.gc.ca/english/department/atip/requests-atip.asp)? Or does he really need to be residing in Canada?

3. What is the best way to make the request? Online or by mail?

I also applied through Vienna and ordered the notes after 8 months. They haven't started processing my application yet. I would not order the notes now. You just applied and the average processing time is 13 months. It would probably be a waste of money to order the notes after 2 months.

I think you need a Canadian mailing address to order the notes.

I would order the digital files online. It takes about 30 days. If you order the paper files it is more expensive and takes longer to receive them

To be eligible to make a request under the Access to Information Act or the Privacy Act, you must be a Canadian citizen, a permanent resident of Canada or an individual or corporation currently present in Canada.

Great questions Avadava. Something i have been thinking about.

my vo posted times are 9 months.
Applied in early November 2013
File transferred to VO on December 2, 2013

I am thinking of applying March 20. Since notes are generated around time of receipt (30 days after request) so the notes I receive should be from about April 20, 2014.

Do you think this is too early to order March 20?

Yes, I have read the requirements also and I know that technically you must be present in Canada, but I was wondering if anyone has any experience with ordering the notes online, just by providing a Canadian passport and a Canadian address, while residing outside Canada. We would be providing my mother in law's address, which is my husband's former address.

All you need is a consent form signed and order online, the notes come via email. Thus the smiley, many people order notes when they are not physically present here

Dear Avadava, You have misunderstood the requirements. Since your husband is a Canadian citizen he can order the notes online from anywhere in the world. He has to attach a photocopy of that part of his passport which establishes that he is a Canadian citizen, his authority from you to access your information and proof of the receipt for the $5 payment. He does not have to be in Canada to make the application nor does he have to give a Canadian address. My Canadian sponsor lives with me in the UK, and shortly before this last Christmas applied from the UK and received the email with the info in the UK,on the 30th day, late evening: it appears that CIC's policy is to wait until the very last moment before supplying the information even though the information is ready to be supplied much earlier than that. Ours not to reason why! So no need to supply your mother in law's address or any other Canadian address. The information will be supplied to your husband via email in Germany. This only works however if the application is made by the Canadian ie your husband. You as a non-Canadian would only succeed in getting the information yourself if you were in Canada. I agree with members who say that you are considering applying far too soon: all you would receive for your $5 would be about 30 pages of code saying nothing useful at all. Wait a bit! Thank you, very useful information.

The reason I would like to order the notes now, even though I am aware it's too early, is because I would like to know two important things:

1. That Mississauga sent my file to the correct VO (I am Romanian citizen residing in Germany and I requested the Vienna VO as opposed to the Bucharest one). In their sponsorship approval letter, they said my file will be forwarded to Vienna, but I just want to make sure the file got there and I assume this will show on the notes?
2. I'm curious to see if CPC-M made any notes for the VO in regards to my husband's intention of resuming residency in Canada. We didn't have much proof of that and read somewhere in this forum that there was a note in the GCMS files made by CPC-M to the visa office saying something along these lines: "Further investigate sponsor's intentions of moving back to Canada".
