Filling out common-law sponsorship checklist. How do I send photos electronically?

For example, i need to send photos with "Details written on the back". I thought about printing photos and scanning them. But the same issue arises in having 2 separate files for 1 photo. Whats the proper way to send a photo digitally, while also giving informative context to each photo? Should I make photos have white space at the bottom + text to act as a "Back". Is this considered acceptable?

Edit: I think i a misunderstanding something. Are we able to send these documents electronically? Or must it be mailed? I don't know how to delete this thread because i think ive figured it out.

Everything has to be mailed.
