Administrative Assistant / Scheduling
Full Job Description
The Admin Assistant is responsible for providing scheduling, administration and clerical support to the Nursing Care Team. Will use effective communication, organizational and problem solving skills to ensure staffing levels are maintained, and provide support to the Nursing Department.
RESPONSIBILITIES:
· Greet Residents and Visitors in a friendly, courteous manner. Present a positive image at all times while directing Residents, Visitors and Staff to appropriate areas.
· Make calls for Nursing staff replacement shifts to maintain staffing levels during position vacancies, vacation and other leaves. Document appropriately.
· Prepare, post and maintain master nursing schedules and all associated responsibilities for replacement of staff.
· Ensure provision of availability submissions on a monthly basis.
· Post vacant positions and fill as per collective agreement and departmental needs.
· Maintain files and documentation in support of the payroll and schedule systems.
· Complete order forms for needed equipment or supplies from approved vendors. Place nursing orders weekly and maintains appropriate records.
· Provide administrative support to the Nursing Department and associated department meetings.
· Assist in the admission process by assembling Resident Charts, entering required information in the resident database (Point Click Care), produce new charts and labels
· Assure that current family information is recorded in the Resident Chart.
· Coordinate discharge/transfer of Residents. Prepare medical record for discharge.
· Notify department of admission and discharges to enable follow through duties of other departments.
· Maintain Chart and medical records in an orderly manner. Keep Charts supplied with needed forms and make sure all forms have the Resident label attached.
· Assist Director of Care with data collection for Quality Improvement. Prepare correspondence, policies and procedures, directives for the Leadership as requested.
· Stock needed supplies and forms in designated areas.
· Attend Nursing Staff and other site meetings. Prepare agenda and meeting minutes and post minutes accordingly.
· Complete weekly Payroll as assigned.
· Maintains confidentiality of all information.
· Perform other assigned duties.
QUALIFICATIONS, SKILLS and ABILITIES:
· High School Graduation with Completion of a Unit Clerk Certificate and/or Administration Diploma, from an accredited educational institute or equivalent combination of education, training and experience.
· Several years of administrative experience.
· Computer literacy with demonstrated experience in Microsoft Office, including Outlook, Word and Excel.
· Knowledge of scheduling and nursing processes in long-term care preferred.
· Prior work or volunteer experience working with seniors is preferred
· Effective verbal and written English communication, interpersonal and organizational skills are essential.
· Demonstrated conflict resolution skills.
· Must be able to maintain a high degree of accuracy under pressure.
· Must have excellent time management skills and the ability to meet deadlines.
· Must be able to work independently and as part of the team.
· Must be able to establish and maintain cooperation with all staff and maintain harmonious relations with Residents and families.
· Physical ability to carry out the duties of the position.
· Must pass a Criminal Records and vulnerable sector check.
