Placing docs inside the envelop

Dear friends,

The size of envelop prescribed by CIC is bit smaller for the size and volume of docs that i need to enclose, actually uni envelopes containing transcripts are bigger than 9" x 12". I think one can go for even bigger size if deems necessary, as double folding transcript envelope won't be wise.
How about placing them inside, i mean on top would be CIO and VO checklist offcourse and then there would be forms and rest we should follow the same order as indicated in te checklists. Should i put all these docs and forms loose or clip / staple segments separately.Please share your experience.Thanks.

Use a binding clip - Order you documents and use a single binding clip.

And it is not necessary to send you documents in a folded state. You may use, a A4 size envelop.

Hi!

I initially used a stapler to bind smaller sets of docs like forms and in the end used a big paper clip to bind all the docs together as my docs were large in numbers about 100 pages. I put them in a large envelope (legal size envelope) which is larger than A4 size envelope as some of my papers were large in size than A4 size. I used three legal size envelopes to make it stronger and not to break during shipping process.

I didn't face the problem with any document size hence I can't comment on the CIC prescribed envelop and your transcript envelop size problem.
But I can share how I placed my doc in envelop. SO far I remember, I put according to the cheklist. Top I put checklist then as you said forms and the other docs followed order of checklist. But I separated them in different segments and clipped them. I also used notes in between to explain if any particular docs needed explanation. I guess you can put a note saying that the size of the envelop containing transcript was bigger than the CIO prescribed size and you had to do so and so...I bet they will consider...

is it fine to put the docs clutched with a binding clip in a mailing envelop, i mean this clip because of its shape may tear the envelope i doubt.

thanks for useful advice.i think once we are sending through some reliable courier service, we should not worry that much about our envelope being torn, they have quite good envelopesof their own, stronger enough to protect our envelope.

I dont think so, the binding clip wouldn't tear the cover.

There are these sleek clips, which are small but can hold about 100sheets without damaging the docs.

As of the Envelop - look for ones with plastic coating or cloth lining, they don't tear easily.

When you send international, the courier company will send your envelop in card-board pouch, which will keep the docs safe from any external damages.

It might sound like a strange question but does anybody know after visa office receive our documents and take them out of envelope where they place the documents? . Are they placed in any drawer or put into some file to be secure.?

The envelope and transcripts were a big issue for my application.
I folded the transcripts by the middle, but then I had a huge file that didn't fit in the envelope. I tried 5 or 6 envelopes, but couldn't put them in. At the end I made my own envelope with paper and put a rubber around it because I didn´t find paper clips that could hold these amount of papers, and then inside a DHL box. When the DHL lady was looking for the area code it didn't match with the one I had. She said that she could not put the same code because it was different in the system (their system has a mistake for the code of Sydney, N.S.). I didn't want to take the chance of loosing it. So, I sent it by UPS.
I was afraid since they especified the size of the envelope, but until now there has not been any problem.

Is anybody can tell me about the order for documents that I need to enclose in the envelope of 9x12?
I mean as far as I can see it now there are 2 checklists (CIO and VO) and the order differs!!! What checklist I need to follow while putting all
FORMS and Additional documents together. FOr example-PROOF OF LANGUAGE PROFICIENCY(TOEFL)and FEE PAYMENT FORM is required to submit in both checklists, but the order what it should follow is different.Does this mean I need to skip one step in one of the checklist while enclosing or I need to enclose an extra duplicate to the final package?

There has to be one set of documents ONLY. Mmm if I am not mistaken, the NEW checklist is only ONE.
If you are using old forms, with 2 check lists, still you will have to include one document required.
First complete the CIO Check list, then put the remaining in Visa office specific check list.

In my opinion, its always better to go with the new forms etc.

Since they made changes in July 2011 to reduce number of acceptable applications in double, I haven`t checked the website for any other updates!!!!
How illogical they are!!!!!ahhhhh I have been gathering all documents about a year and now everything is ready....but changes((((
Thank you so much that you mentioned that! So you are right, I couldn`t find any other checklist besides for CIO. But regarding what I see on the website, i become confused more and more!!!!
- "Federal skilled worker applications received by the Centralized Intake Office (CIO) after November 14, 2011 must be prepared using the updated instruction guide and Document Checklist (IMM 5612) or they will be returned as incomplete" -they saying that we just need to be prepared to this changes that appear on or after November 14, but further again

- "The CIO will continue to accept the Application for Permanent Residence in Canada (IMM0008) until March 31, 2012. After that date, only the new version of the Generic Application Form for Canada (IMM 0008) will be accepted and all previous versions will be returned to applicants"- here is other date appears-March 31, 2012 !!( and then again-

-Note: As of July 18, 2011, applicants for Permanent Residence are asked to complete the new Generic Application Form for Canada (IMM 0008). Applicants are encouraged to complete the form electronically and validate the information to generate 2D barcodes before printing. To ensure you have the most recent application form, please use the link to the application form below"-

They encourage us or required?!! What is my next action?(( May I still send the old version of applications followed by 2 checklists ( at least it`s not prohibited) and it still will be acceptable???

Good that you caught it before it was late :)

Anyways, you can send the old format application. BUT, its always better to comply with the Fresh set of applications and check lists etc. This way you will avoid any disparity. And also have had sent updated applications, and check list.

BUT you will be ok (I think) with the old application pack as well.

So its your call bro.

After reading some posts here, I have a notion that some did not followed the prescribed envelope size of 9" x 12". Is this OK? Will it not create problem in any way on one's application? I'm still preparing for my docs right now and hope I will get a clear idea here. Thanks!

I had to attach lots of documents and hence they didn't fit in the required size. Therefore, I had to send them in a bigger envelope and it wasn't rejected. After all, it doesn't make sense to reject an application because "the envelope size was bigger that the required one" :D

I had 1 kg of documents and sent them in really big envelope and DHL put them in their even more bigger envelope and everything was ok. ;)
