Hi Guys! I'm in process of collecting documents for my OINP application. This is regarding the Letter of Explanation. My current employer refused to issue the Reference letter as it is against their policy. Hence, i have obtained the reference letter on a plain paper with my Colleague's Signature and a copy of his Employee card. I also have other documents like Pay slips, offer letter, form-16. So I have drafted the Letter of Explanation. Could you guys please review it and let me know if I am missing anything?? Here is what i have drafted:

LETTER OF EXPLANATION

Employment with XXXX

Dear Immigration officer (CIC),
I, XXXX, am writing this letter to explain the documents I have included as a proof of my employment with XXXX.

Documents included:
1) Offer Letter on Company Letter Head
2) Supervisor’s Reference Letter with roles and responsibilities
3) Supervisor’s Employee Card
4) Pay Stubs (Sept 2015-Jan 2016])
5) Latest Form-16 (Government Tax Report) for Year 2015-16

My HR department issued an Offer letter (item 1 above) on company letter head but could not include details on roles held and job responsibilities as it is not in their policy to issue such document/letter to the currently working employees. Hence, I have obtained a signed reference letter from my immediate supervisor that lists my roles and job responsibilities along with additional employment details (Working Hours, Salary, and Duration of work). In addition, I have also included my supervisor’s official (Signed) photocopy of Employee card. Hence, I request you to kindly consider my case. Thanking you in advance.

This looks absolutely fine. Make sure you get the letter notarised - the job responsibilities one from your colleague.
